iManage Work offers a number of ways to share or send your files to others. When right-clicking or selecting a document’s kebab you’ll find a share menu which provides options to share the document itself, document link, or both, by email.
If you choose ‘send document’, Microsoft Outlook will open with the document attached to a new email. Choosing ‘send link’ will again open Outlook with a new email created, but this time with a link to the document and a file known as an ‘NRL’ file attached.
For the recipient, the link simply opens iManage Work Web with the document shared open in preview mode. The NRL file is a powerful tool which when opened, checks the file out of iManage Work and opens it for viewing and editing in the appropriate application, in this case Microsoft Word.
If you choose ‘send both’ Outlook will open with a new email created with a link, an NRL file and the document itself attached.
Copying a link
Copying a link to send to a co-worker is a quick and easy way to share a file with others.
In iManage Work Web or the Work Panel in Outlook, right-click or use the kebab to Copy Link.
In Office, Copy Link from the iManage ribbon.

Co-authoring enhances collaboration by allowing multiple individuals to edit the same iManage documents simultaneously. When you open an iManage document in an office for the web application, you can invite others to edit by sending them the URL link. When collaborators click on the link, they'll be brought directly to the document and can begin editing immediately.
In addition to office for the web applications, you can also join a co-authoring session by selecting ‘edit co-author’ in iManage Work. This will open the document in its native M365 desktop application regardless of using a web or desktop application. Edits made during the co-authoring session are synced to iManage work automatically, which means you can leave the co-authoring session at any time and trust that your changes have been saved.

Samantha, a Partner at a law firm, is working on a high-profile Real Estate Purchase Agreement alongside David, an Associate, and Priya, the Senior Partner in their practice. With the deadline approaching, they need to collaborate efficiently to finalize the document. To ensure a seamless workflow, Samantha suggests they collaborate on the document using iManage Work.
To do this, she has two options to start collaborating: From iManage Work Web, she can locate the document, right-click, and choose Edit (Co-author) to open in the Desktop or Edit (Co-author) in MS Word for the web. Alternatively, she can open Word, Excel, or PowerPoint, navigate to File > Open > iManage, and access the document directly. This process enables Co-Authoring across the Microsoft 365 applications.
Samantha quickly opens the Real Estate Purchase Agreement. She knows she is in collaboration mode because Auto Save is turned on. This makes the document instantly available for real-time collaboration.
Switching to Work Web, she notices the document is opened with a globe icon, signaling to her colleagues that it is in an active state of collaboration.
To move forward, Samantha needs David to refine his section while she updates key dates and polishes the language. Once their edits are complete, Priya will review and finalize everything.
With the document open in Microsoft 365 for the web, Samantha clicks Share, and then Copy Link and shares it with David and Priya. When they click the link, the file will open in the Microsoft 365 desktop application where they have now joined the co-authoring session. They can see Samantha’s cursor and location in the file.
Now, they’re collaborating and editing in parallel. Each team member sees live updates as each other types, preventing version conflicts and eliminating inefficiencies.
When they collaborate in iManage, their edits sync seamlessly back to their iManage workspace, ensuring maximum productivity. They can see each other’s cursors, add comments, and refine the content together—all without the hassle of manual version tracking and collating back to the original file.
As soon as they finish, Samantha simply closes the document. Thanks to auto-save, all changes are instantly captured in iManage, providing a secure and efficient document management experience.

Secure Send with iManage Share
Securely send files to external collaborators using Secure Send.

If your organization uses iManage Share, you can easily and securely share files with external collaborators using the Secure Send feature, available in both Outlook and Work Web. To get started in Outlook, open a new email and toggle on Secure Send. Then, add your iManage attachments as you usually would. iManage will automatically upload your files and insert a single and secure Share link into the body of your email, even if you’re sending multiple attachments. On the right side of your screen, you’ll see a panel displaying your attachments. From there, you can click the Settings tab to set a link expiration date or restrict access to just your email recipient, giving you complete control over your shared content.
When your external collaborator receives your email, they’ll enter their email address and select “Request Link.” Shortly after, they’ll receive a second email containing the files, ready for secure viewing or downloading.
You can also use Secure Send directly in iManage Work Web. Simply select the document’s kebab menu, hover over Share, and choose “Send Secure Link.” The dialog will prompt you to upload your document to iManage Share, either as a new version or as a new document. Once you’ve made your selection and clicked Upload, you’ll have those same options to set expiration dates and decide whether you want the link to be trackable or restricted.
Tip!
Secure Send can also be used to share content which is too large for email, like video files.

Later, Samantha needs to send an updated agreement to Freya, a consultant. From iManage Work Web, Samantha finds the right document, right-clicks, selects Share, then Send Secure Link. She fills out the dialogue box with her preferred upload setting. She can also set the file to be trackable, restrict access to Freya only, and set an expiration date on the link. After generating the secure link, Samantha copies the link and sends it to Freya via Outlook.
Freya clicks the iManage Share link, enters her email, and requests access. Within seconds, she gets the access email and downloads the document—all without compromising confidentiality.
